"How much does POS software cost?" is the first question most shop owners ask, and the hardest to answer in one number. The price depends on what you need and how vendors package it. This guide explains what you are paying for, so you can compare quotes on equal terms.

We do not give price figures here. Prices change, vendors package their offers differently, and a number without the details behind it is more likely to mislead than to help.

What you pay for

The software licence

Vendors usually charge in one of two ways:

  • A subscription, paid monthly or yearly, which normally includes updates.
  • A one-time licence, sometimes with a separate yearly fee for updates or support.

Ask which model applies, what the billing period is, and what happens when the subscription or licence ends.

Branches and tills

Many systems are priced by the number of shops and the number of checkout points (tills or terminals). Ask:

  • How is each extra shop or till priced?
  • Is there a limit on the number of user accounts?
  • What happens to the price if you open a new branch next year?

Modules

Some vendors include everything; others charge separately for parts such as customer loyalty, campaigns or multi-branch reporting. Make sure the quote covers the parts you will use.

Hardware

You will need some or all of:

  • A computer or tablet for each till.
  • A receipt printer, a barcode scanner and possibly a cash drawer.
  • A label printer, if you print your own barcodes.
  • A reliable power backup for the till and the router, given power cuts.

Ask the vendor which devices their system works with before you buy any hardware.

Setup and data entry

Someone has to enter your product list, prices and opening stock, and set up staff accounts. Ask whether the vendor does this, whether it is included or charged separately, and how long it takes.

Training

Cashiers and managers need to be confident before the first busy day. Ask who trains them, where (on site or remotely), and whether later training for new staff is included.

Support

Ask how you reach support (phone, WhatsApp, email), at what hours, and how quickly problems are handled. Support matters most on your busiest day.

Running costs

  • Internet data for the till and for synchronizing records.
  • SMS or WhatsApp messages if you send campaigns to customers. These are often charged per message by the messaging provider.

The cost of not having a system

A POS system is not only a cost. Without one, many shops lose money in ways that are hard to see: stock that disappears without a record, cash differences nobody can explain, best sellers that run out, and hours spent updating notebooks. Only you can estimate these for your shop, but include them when you compare.

How to compare quotes

  1. Ask for written quotes for the same setup: the same number of shops, tills and users, and the same modules.
  2. Add up the cost over one or two years, including setup, training, support, hardware and running costs, not only the first payment.
  3. Check what is included and what is extra.
  4. Ask what happens when you add a branch, change plan, or stop paying.
  5. See the system working on your kind of products before you sign.

How NexaPOS pricing works

NexaPOS does not publish prices, because every setup is different. Each business receives a quote based on its branches, terminals, the modules it uses, onboarding, training and support. There are three plans, from a single shop to five branches; see the pricing page to compare what each includes, or book a free demo and ask for a quote for your setup.

See how it would work in your shop.

Tell us about your branches, terminals and team, and we will show you NexaPOS in action.
